A Wedding Videographer's Contract That Closes Deals Faster

Any videographer will tell you how important the wedding day is for any couple. To successfully capture and create an overall vision for the wedding, a wedding videographer should include a wedding videographer contract. This contract can be further tweaked according to the requirements of the wedding videos.

This binding contract will help videographers to set clear expectations, pricing, and even payment details and include provisions like cancellation and what to do in case there is a change of reception location, etc. Since these wedding videography contracts are written in stone, they also act as retainers for customers. However, drafting a wedding videographer contract is difficult and is often time-consuming.

Benefits of using a wedding videographer contract

If there is a wedding videographer contract in place, it will -

  • Help onboard customers faster and set the right expectations from the get-go
  • A well written contract often acts as a proof for the videographer’s brand
  • Help manage clear expectations regarding the copyright issues of the videos and photos taken during the wedding
  • Contains relevant details about the event (like the ceremony location, date, and amount of time the videographer needs to be there during the event), technical details on the equipment, information about the videographer and their assistants, and information about the deliverables, like the format, the time of delivery, etc.

The wedding videographer contract becomes effective as soon as it is signed by two parties, and the initial amount has been paid.

What should a wedding videographer contract include?

A wedding videographer contract should include:

  • Cover page - This is the intro of the contract. Include a header, the name of the parties, and the logo of your business.
  • Recitals - This acts as a checklist that summarizes the essentials of the document like the start date, venue, technical details. It ends with the declaration stating that both parties accept the contracts and the terms and conditions.
  • Wedding videography services - This section will include the role and responsibilities of the videographer. Here, it is best to talk about the video packages, and what the deliverables will look like, for example, will it include a raw package, social media snapshots, or videos with or without background music. Here, most contracts also have a price list for each service.
  • Terms and conditions - The wedding videographer contract should include these terms and conditions for seamless interaction between both parties.
    • Payment terms - This section will provide details about advance payments, remaining balance, and the payment schedule and methods.
    • Ownership, or copyright rights - This section will explicitly provide information regarding the transferable and non-transferable details about the raw footage, photographs, and even the final wedding video.
    • Technical details - This will enlist all the technicalities that will be required by the videographer, like the lights, hard drives, or flash drives used to save the videos, etc.
    • Reschedule - This gives the videographer legal rights in case of a cancellation or rescheduling of the wedding.
    • Additional hours - The contract will also include details about the additional hours that the videographer might need to invest that day.
    • Force Majeure - In case there are certain scenarios wherein the wedding ceremony was canceled because of an act of god, this clause protects the videographer from losing out on business. For example, the year 2020 saw a lot of cancellations of wedding ceremonies due to COVID. Including a force majeure helped videographers stay afloat during these difficult times.
  • Acceptance and eSignature - A eSignature ensures that the contract is accepted and makes it legally binding.

How to draft a wedding videographer contract?

When it comes to drafting a contract, most businesses face a lot of issues ranging from finding the right template online to hiring the right legal team for validation. Revv’s wedding videographer template is free, completely customizable, and legally vetted. However, if you were to start drafting a wedding videographer contract, here are some tips:

  • Use simple language to convey - If your provisions and terms are vague, it might confuse customers and create misunderstandings.
  • Include payment details - Revv comes with Stripe integration that allows you to include a payment link within the contract itself. This streamlines the deal closing process further.
  • Include the terms of termination in the contract - Since there is always a chance of weddings getting rescheduled or canceled, it is important to include a cancellation clause in the contract itself.
  • Include copyright laws - Most videographers automatically own the copyright to the work, but some customers may not agree to this. As a professional, it is important to clarify these details with the customer before signing the contract.
  • Add the delivery delays, in case there is any - Most videographers prefer editing the videos before they send them to their clients. That can take up to four to five months. It is best to inform the delivery delay part and set the right expectations.

With Revv, most of these things are taken care of automatically when you use the wedding videographer contract template. It also includes an activity tracker that lets you track the status of the document and prevent delays in deal closure.
