An HVAC services business proposal needs to have these specific features that we have put in our template after assessing what your potential clients are looking for. Download our HVAC proposal template that is specially made for you and create a proposal your clients can’t refuse.

What is an HVAC services business proposal?

The HVAC system (Heating, Ventilation, and Air conditioning) plays a crucial role in the climate control of residential or commercial properties. People who live in extremely high or low temperatures need an HVAC system for a comfortable living.

To maintain a consistent temperature throughout the building, they rely on HVAC contractors to provide a qualified HVAC technician to install, maintain, or repair their HVAC system.

If you are an HVAC business owner, you can profit tremendously from leveraging an HVAC business proposal.

An HVAC proposal -

  • Defines the terms, conditions, and responsibilities of HVAC service providers and outlines the scope of work and associated costs

  • Demonstrates your ability and establishes you as a trustworthy service provider

  • Serves as an effective sales tool that transforms your prospective clients into satisfied customers

  • Helps you stand out from other service providers

What are the components of an HVAC services business proposal?

If you are an HVAC service provider, you must create a well-defined and accurate business proposal to impress and win clients. Here are the elements of an HVAC business proposal -

Cover page

This is the first page of your proposal. It includes - the logo and name of the service provider, the name of the client, and the proposal’s name. You can also add business images to make the title page more impactful.

Cover letter

A cover letter sets the tone for the proposal. It describes a client's challenges and why your HVAC services are the right solution for them. Leave your contact details at the end of the letter so that the prospective client can easily reach out to you for any additional information.

Client testimonials

HVAC services are complicated to operate. Clients look for a reliable and experienced service provider for the heating, ventilation, and air conditioning systems. Adding social proof to your proposal adds credibility to your HVAC business and increases the chances of business success.

About us

This section talks about your HVAC company in detail and gives your clients a clear idea about who you are. Include your - mission statement, values, experience, competitive advantage, and unique selling proposition.

Services and packages

Different clients may have different kinds of heating, ventilation, and air conditioning systems requirements. Some might be looking for an HVAC service installation, while others may want a consolidated package including the installation process, maintenance services, and future repairs.

This section specifies the type of HVAC services, work items for each service, and its pricing. For example - if your HVAC business is approached for installing HVAC systems, the estimated costs should include a break up of all the services and how much money you will charge for each service, along with the cost of materials and labor.

Project timeline

Here, an HVAC business contractor proposes a schedule and milestones for their service offerings.

Post-installation maintenance schedule

A routine check-up of HVAC systems is a must after the installation. A rigorous HVAC maintenance schedule ensures that the whole system is working efficiently as per the HVAC industry standard.

This section lists a date-wise schedule of different maintenance services to be done by the service provider at the installation site.

Terms and conditions

Here, you lay down all the rights and duties of both the parties entering into an HVAC business agreement.

Acceptance and signatures

Finally, include signature blocks where the HVAC business service provider and the prospective client will sign the proposal and transform it into a deal.

Why should you use an HVAC services business proposal template?

Whether it is about improving indoor air quality, installing and looking after a refrigeration system, a heating system, a cooling system, or an air conditioning system, an HVAC services business proposal template helps the service provider reach out to the target market faster than the competitors. It increases the chances of winning the deal.

Here's how -

It is pre-drafted, ready-to-use, and customizable. A service provider doesn't have to create each proposal from scratch. They just need to customize the template according to the business operations of their heating, ventilation, and air condition services. This accelerates the proposal creation process.

It is polished and beautiful with a well-defined structure. A template helps the service provider to create a professionally-looking HVAC services business proposal and 'wow' the clients. A clear structure divided into digestible pieces helps to comprehend the proposal easily.

Collaboration features like tagging, adding notes and attachments help the service provider to communicate with prospective clients in real-time within the proposal. It also saves both parties from difficult-to-track email exchanges.

Its built-in eSignature system accelerates the HVAC business deal closure.

Revv offers real-time visibility into your heating, ventilation, and air conditioning services proposal. It helps to track the status of the proposal process - whether it is opened by the prospective client, is it signed, where it is holding up, etc.
